Private EVENT Rules And procedures
A private party Reservation Form must be completed prior to scheduling an event. Party scheduling is accepted on a first come basis. Private parties must be coordinated with and confirmed by the board secretary.
The maximum length of a private party is two hours. Thirty minutes will be reserved prior and after the event for set-up and clean-up.
The total party size may not exceed thirty attendees. Attendees are defined as Fox Hunt members, guests, swimmers, and non-swimmers.
All private parties must be sponsored by a Fox Hunt adult member. The sponsoring member is required to be in attendance for the full length of the event.
The party sponsor is responsible for the conduct of the partygoers, ensuring that all Fox Hunt Swim and Tennis Club rules are followed. Failure to maintain an orderly party may require its cancellation and all rental and guest fees forfeited.
All Fox Hunt Swim and Tennis Club operating procedures can be found under the “Operations” tab on the pool website.
The designated party area shall be clearly identified by the Pool Manager/Board Secretary at the beginning of the day with the reserved time clearly stated to minimize inconvenience to other Fox Hunt Swim Club members using the pool.
The party sponsor is responsible for setup and cleanup. The party area should be left in the condition in which it was prior to the party. The Board Secretary, Pool Manager, and Guards are not responsible for setup or cleanup of the event.
All tables, chairs, equipment must be moved back to their original location at the conclusion of the event
Members are not permitted to use or move the grills during an event.
Please remember, no squirt-guns or water balloons are allowed within the fenced pool or tennis areas.
Fox Hunt reserves the right to block off high volume days and times for holidays and social events.
Guest Fees and procedures
For non-members, there is a $5 guest fee. Guest booklets of five and ten passes are available through individual membership accounts in Member Splash. All guests, including those that are non-swimming, must have a pass.
For children under age 15 there must be at least 1 adult chaperone for each 4 children.
All confirmed party attendee passes must be paid for and added to the sponsoring member’s account two days prior to the event.
A “no show” allows Fox Hunt to retain your reservation fee and pre-paid guest fees.
A party attendance form will be sent with the reservation confirmation. Party hosts are required to list each guest’s first and last name on the form. The completed form must be emailed to the board secretary two days prior to the event. Guards will use this list when checking in all party attendees.
Food, Beverage and weather procedures
Glass containers are not permitted on the property.
Grills cannot be used or moved.
Refrigeration space is unavailable.
No alcoholic beverages are permitted anywhere on the Club premises, including the parking area, except when approved by the Board of Directors in connection with adult social activities.
If the pool closes for the day, time permitting, you may request to reschedule your event. If rain occurs during any part of an event and the pool remains open, the event will continue as scheduled.
